Diagnose the Louisiana record before sending another packet
Capture the exact Registered Charities listing entry, legal name, EIN, former names, Registered Through date, professional solicitors, contracts, campaign dates, custody of donations, prior URS filings, payment evidence, delivery records, and agency correspondence. A missing listing, expired date, name mismatch, incomplete submission, and separate solicitor lapse are different problems.
Confirm whether the charity used a professional solicitor during the period. The Attorney General ties charity registration to that relationship, while R.S. 51:1901 defines professional solicitor broadly and addresses interstate solicitation. Document the facts rather than assuming the public date alone explains the legal or operational result.
Rebuild the current charity renewal packet
The Louisiana renewal checklist calls for the annual $25 fee, Unified Registration Statement, copies of all professional-solicitor contracts, and a list of other states where the organization is registered. Use a current URS, mark the renewal or update posture accurately, and reconcile the legal name, reporting year, addresses, leaders, programs, solicitation methods, professional relationships, and financial responses.
The checklist expressly says Louisiana does not require the IRS Form 990 for annual registrations. Do not hold a complete state renewal solely to include a return the current checklist does not request. If an agency notice asks for a different or additional item, preserve that instruction and map the response to the exact deficiency.
Reconcile the solicitor’s separate status and campaign evidence
The charity’s renewal and a professional solicitor’s registration are separate. Under R.S. 51:1901.1, the solicitor has its own application, $150 fee, annual term, and a bond requirement when it has custody or control of contributions. List every solicitor, contract, office, service, compensation arrangement, campaign date, solicitation role, and custody fact requested by the URS.
If a vendor changed, terminated, or handled only part of a campaign, reflect the actual dates. Do not omit an expired contract that belongs to the reporting period, and do not attach an unrelated current agreement as a substitute. The charity record and vendor record should tell the same factual story.
Submit once through the current route and preserve evidence
The Attorney General currently offers online or mail filing and describes electronic or check payment. Recheck the live page and checklist for the portal, payment route, service charge, mailing address, and requested attachments. Save the final URS, contract set, other-state list, payment receipt, transmission or tracking record, and a dated copy of the instructions used.
Avoid duplicate renewals or payments while the first cure is being matched. If the portal or public listing does not accept the organization’s name or record, contact the Consumer Protection Section with the reconciled evidence. A record-specific response is more reliable than creating a second initial registration or guessing at a new identity.
Confirm the updated Registered Through date and prevent recurrence
After processing, search the public listing using the exact legal name and reasonable variants. Treat recovery as complete only when the Registered Through date advances appropriately or the agency provides a written resolution. Preserve the before-and-after captures with the final packet. If the date or name remains wrong, follow up with the evidence rather than describing the record as current.
Install an annual control based on the organization-specific Registered Through date, not a guessed universal fiscal deadline. Assign owners for contract review, URS preparation, other-state reconciliation, payment, submission, public-record verification, and vendor status. Reevaluate the trigger whenever solicitation methods or paid fundraising relationships change.
