Diagnose the Alabama record before refiling
Capture the business-lookup result, legal name, solicitation names, EIN, Alabama registration number, fiscal year, former addresses, portal profile, annual submissions, financial attachments, payments, delivery records, notices, and agency correspondence. Separate a lookup mismatch, missing year, incomplete attachment, unreported change, cancellation notice, and vendor problem. They require different responses and should not be collapsed into a generic late status.
Build a table for each fiscal year showing the ordinary due date, any state extension, actual solicitation activity, return or written-report type, state form, fee, submission date, confirmation, deficiency, and outcome. If the state fiscal year differs from the organization’s current records, resolve that identity issue before calculating catch-up dates. Preserve original and amended versions.
Read the notice and identify the statutory defect
Section 13A-9-71(g) allows the Attorney General to cancel a charity registration when the organization does not file within the prescribed time or does not furnish requested additional information within the required period. The statute says the agency mails notice at least 15 days before the effective cancellation date. Record the notice date, delivery address, stated defect, response deadline, and every requested item.
Do not infer that a $25 payment alone prevents cancellation, and do not represent an open record as current. If solicitation is active, escalate the issue to qualified counsel or record-specific agency guidance as appropriate. Keep the charity cure separate from any professional fundraiser or commercial co-venturer registration, contract, bond, or closing statement.
Rebuild every open annual filing accurately
For each missing period, prepare the renewal against the registration number and actual fiscal year. Attach the most recently submitted Form 990 for that period or the alternative written report with gross income, expenses, net income, year-end balance sheet, and activity-and-expenditure schedule. Include the $25 fee required for the annual report and answer agency requests with a clear item-by-item cover index.
Reconcile names, addresses, leaders, programs, solicitation purposes, and fundraising relationships. Alabama separately requires notice within 10 days of a change to required registration information, so a catch-up renewal should not silently conceal an earlier change. If the organization received an extension, retain the state confirmation and apply it only to the period covered.
Use the existing profile and avoid duplicate records
The Attorney General’s self-service page says registered charities can renew, update demographics, and submit financial reports through their registration profile. Recover or create the charity profile through the current agency route and connect it to the existing registration number. If the system does not match the organization, contact the published Consumer Interest route with reconciled identity evidence instead of filing another initial registration under a variant name.
Submit one controlled response, save the final screens and attachments, and retain payment and transmission evidence. Avoid parallel online and paper cures unless the agency instructs otherwise. A duplicate package can complicate matching and does not establish which filing resolved the record.
Confirm recovery and prevent recurrence
After processing, search the public lookup by registration number, legal name, and reasonable variants. Treat the cure as complete only when the displayed record matches the intended period or the Attorney General provides written resolution. Preserve before-and-after captures and any correspondence. If the public signal remains stale, follow up with the original confirmation rather than creating another payment.
Install a calendar keyed to 90 days after fiscal year close, with an earlier internal close for financial preparation. Assign owners for state-profile facts, Form 990 or written-report preparation, fee approval, submission, lookup verification, notice intake, and 10-day changes. A durable control should surface missing evidence before another cancellation window begins.

Alabama recovery FAQ
What should an Alabama charity check first when its record looks stale?
Reconcile the legal name, registration number, fiscal year, every annual filing, payment, notice, and public lookup result.
Does Alabama publish one universal reinstatement form for charities?
The current materials point to the existing profile, annual filings, requested information, and record-specific agency direction rather than a separate universal charity reinstatement form.
What is needed for each missing Alabama renewal year?
Prepare the renewal, the applicable Form 990 or Alabama written financial report, the $25 fee, and any requested change information for that period.
What does an Alabama cancellation notice mean?
The statute permits cancellation for an untimely report or missing requested information and provides mailed notice at least 15 days before the effective date.
Should a charity file a second Alabama initial registration?
Reconcile and cure the existing registration unless the Attorney General gives record-specific direction to use a different route.
Does a payment receipt prove the Alabama record is recovered?
No. Keep the receipt, but verify the processed public record or obtain written agency resolution.
